Track Credit Limit Exceedances of A/R Accounts

Stay is enhanced to track the credit limit exceedances of an A/R account and capture a record for the exceedances in the following areas:

  • Audit Log screen (Reports Audit Log)

  • Accounts Receivable dashboard (Accounting Accounts Receivable)

  • AR Aging Forecast Summary report (Dynamic)

  • AR Aging Forecast Details report (Dynamic)

  • A/R account History Account History

This enhancement improves transparency, auditing capabilities, and the A/R management processes to manage the A/R accounts effectively.

Log Details

The following details are captured in the logs created in the Audit Log screen and Account History tab when an A/R account exceeds its credit limit:

  • The username of the user who posted the transaction

  • Date and time when the credit limit was exceeded

Users with the Stay_OverrideAccountsReceivablePostings permission can override and post charges that exceed the credit limit of an A/R account. When the override results in a credit limit exceedance, it is captured in the Audit Log screen.

When the credit limit   because of a posted charge or transfer of charges by a routing rule, a record is captured in the Audit Log screen with the username displayed as System.

Accounts Receivable Dashboard

The following new columns have been added to the dashboard to track the status and credit limit availability of A/R accounts:

Account Status

The account status of an A/R account. When users hover over the following account statuses, the date and time of the status change is displayed:

  • Hovering over the Closed status of each account displays the date and time when the account was closed.

  • Hovering over the Hold status of each account displays the date and time when the account was put on hold.

  • Hovering over the Open status of each account displays the date and time when the account was opened.

This information is not displayed for the newly created accounts or existing accounts without recent activities.

Available Credit

This column is displayed next to the Account Status column. The credit amount available for an account is displayed in this column. The available credit is displayed in red when the credit limit has been exceeded.

The newly added columns are also displayed when the dashboard is exported as a CSV file.

A new filter option, Status, has been added to the dashboard that will allow users to filter accounts based on their account status. The filter options selected by users in the dashboard are also retained in the exported file.
